Consistent Staff Communication Across Two Sites for a Non-Profit Child Protection Organization

Jeugdbescherming Overijssel is a non-profit child protection organization operating across two office locations in the Netherlands. With Castit, they replaced scattered emails and outdated posters with a centrally managed digital signage system that keeps staff informed and clients better served, saving time and communicating more consistently across both sites.

Non-profit organizations don't always get the same attention as commercial businesses when it comes to technology adoption, but their communication needs are just as real, and in many ways more demanding. They serve people in vulnerable situations, run focused teams, and need tools that work reliably without requiring constant upkeep. When the work is as serious as child protection, getting information to the right people at the right time isn't a nice-to-have. It's part of doing the job well.

Jeugdbescherming Overijssel (JbOV) is a good example of a non-profit that found a practical, affordable way to solve a real communication problem, and the results speak for themselves.

About the Client

Jeugdbescherming Overijssel is a certified non-profit child protection institution based in the Dutch province of Overijssel. Operating under the Dutch Youth Act, JbOV carries out court-mandated child protection measures for children and young people aged 0 to 18 who are growing up in unsafe home situations or at risk of going off track. Their work includes supervision orders, guardianship, and youth probation, all carried out by a team of 235 employees working across eight regional teams in close collaboration with municipalities, the Child Protection Board, and the justice system.

JbOV has offices in two cities: Hengelo and Zwolle. Both locations receive clients and visitors regularly, and both house teams of caseworkers who need to stay informed and connected to what's happening across the organization.

The Challenges

Before implementing digital signage, JbOV relied on the usual mix of email and printed posters to keep staff informed and communicate with visitors. It worked, but not particularly well. Emails got buried. Posters became outdated and were rarely replaced on time. Information was inconsistent between locations. And keeping everything current required more time and effort than the team could reasonably dedicate to it alongside everything else they do.

On the visitor side, people arriving at the offices, often in stressful circumstances, had limited access to useful information while they waited. There was no consistent way to orient them, share relevant updates, or communicate basic practical details like office hours or contact information.

The organization also needed a channel to promote its internal programs, including the JbOV Academie training platform, without adding more items to an already crowded inbox.

The Castit Solution

JbOV chose Castit as their digital signage platform and deployed nine players across their Hengelo and Zwolle offices, all running on professional licenses. The screens are installed in two types of locations: near coffee corners, where employees naturally pass through during the day, and in waiting areas, where clients and visitors spend time before appointments.

All nine players are managed centrally through Castit's cloud-based dashboard. Content can be created, updated, and published remotely. No one needs to be on-site to make a change, and updates go live across both cities in seconds.

The content itself covers a wide range: welcome messages, office information, closing times, contact details, local and organizational news, service and program announcements, community content, weather, and more. Playlists include a mix of static images, animations, videos, and live app integrations that update automatically.

Visitor-facing screens are set up separately from staff-facing ones, so each audience sees content that's relevant to them. No expensive proprietary hardware was required as Castit runs on standard devices, which kept the setup costs manageable.

The Results and Impact

Less Email Traffic
Significant Time Saved
Consistent Across Sites
Simple to Manage

Since rolling out Castit across both offices, JbOV has seen a noticeable shift in how information moves through the organization. Email traffic has gone down, printed posters have largely disappeared, and news and announcements now reach people naturally, simply by being visible in the spaces where staff and visitors already spend time.

Consistency has improved too. Both locations now communicate through a recognizable, professional layout, which means information looks the same whether someone is in Hengelo or Zwolle. That kind of reliability builds trust, both internally with staff and externally with the clients and visitors who come through the door.

From a practical standpoint, the time saved is significant. Publishing new content no longer requires coordinating physical materials across two locations. Updates are made once, remotely, and go live immediately. For a team that has many other priorities, that simplicity is exactly what makes the system worth keeping.

The platform itself has earned its place through straightforward qualities: central management, flexible content, a professional look, and no requirement for expensive dedicated hardware. Those aren't flashy selling points, but for an organization like JbOV they are exactly the right ones.

"

Within JbOV, we use Castit for narrowcasting in our offices. We have TV screens near the coffee corners where we display news that is relevant to our employees. In addition, screens are installed in the waiting areas to inform clients and visitors.

Since implementing Castit, we send fewer individual emails, and posters have largely become unnecessary. News receives more attention because it is visible in shared spaces within the offices. Information delivery is more consistent, with a fixed and recognizable layout. Moreover, we save a significant amount of time because we can easily and remotely publish news quickly.

What we value most is the central management, flexibility of the content, professional appearance, and the fact that no expensive hardware is required. We would certainly recommend Castit due to its ease of use, professional appearance, and affordability.

Digital Signage Works for Non-Profits and Social Services

JbOV's experience reflects a broader truth: digital signage is not just for retail stores and corporate headquarters. Any organization that has multiple locations, serves people in physical spaces, or needs a reliable channel for internal communications can benefit from the same approach.

For non-profits in particular, the value is in the efficiency. You set it up once, manage it centrally, and it runs, informing clients in waiting rooms, keeping staff updated at the coffee corner, and promoting programs that might otherwise get lost in the noise. All without printing a single poster or sending another all-staff email.

If your organization is dealing with the same challenges JbOV faced, fragmented communications, outdated printed materials, or inconsistent messaging across locations, Castit is worth exploring. The platform is free to get started, scales to any size, and is built to be managed by people who aren't digital signage specialists. Visit Castit to learn more, or reach out to the Castit team directly to talk through what a setup would look like for your organization.
